From cookge@vuse.vanderbilt.edu Fri Jan 28 11:44:42 2000 Date: Fri, 28 Jan 2000 11:38:55 -0600 From: George Cook To: Charles Lord Cc: george.e.cook@vanderbilt.edu, d.green@ieee.org Subject: IEEE SoutheastCon 2000 Committee Meeting We have accepted 45 full-length papers and 57 short papers for the conference. The page allowance for the conference proceedings is 8 pages for the full-length papers and 4 pages for the short papers. All papers must be presented at the conference, and all presenters must register for the conference. The authors have been notified that the camera-ready copy of the paper is due by February 14. They have also been notified that the deadline for registering at the Hotel under the guaranteed group rate of $99 is March 16. We currently have 4 industrial sponsors for the conference: Lockheed Martin, $2,500 for general conference co-sponsor, Siemens Energy & Automation, $2,500 for general conference co-sponsor, Bridgestone/Firestone, $3,000 for sponsorship of the conference reception, and Sumitomo Electric Wiring Systems, $1,500 for sponsorship of the Sat. morning authors breakfast. We are optimistic that TVA will also sponsor an event. We are continuing to solicit other sponsors. IEEE has approved our budget. We will use the IEEE credit card system for processing credit cards. We have been invoiced $100 by IEEE for checking our budget, and we have been invoiced for approximately $1,000 for advertising in the Region 3 Newsletter. I believe both of these invoices have been paid by Ensign Johnson, our treasurer. That leaves about $9,400 in our account. Jeff Austen at Tennessee Technological University is handling all of the student activities. Platforms for the student hardware competition are being constructed. We anticipate using the Salon D+E rooms at the Marriott Hotel for the hardware competition. The Hotel has been asked to provide about 30 folding tables, bleachers for about 100 people, and a PA system. Based on the Lexington conference, Jeff anticipates that 10 computer systems will be needed for the student software competition. A.B. Bonds at Vanderbilt is checking to see if the Engineering School can provide the necessary computers properly configured for the competition. We are currently planning to have a student Job Fair on Friday afternoon, April 7. Bill Sims is working on the industrial participation. In addition to the companies previously mentioned as conference sponsors, Newport News Shipbuilding has stated that they will be participating. We hope to have 15-20 companies represented. With that representation, we believe we can get 200-250 students to participate. We are meeting about every 2 weeks now. We need to know the meeting room requirements for ALL IEEE activities. We do not currently have any of this information. George Cook General Chair
