SouthEastCon 2002 Report Nancy Gunderson Even though I am chair of the section, I am not going to Jamaica. Instead, Steve Carroll, who is vice-chair is graciously taking my place. The following report is the status as of yesterday 10/12. If there are updates Steve will present those at the meeting. Mailing for Volunteers An email was sent to each member of the section requesting additional volunteers. In addition, the volunteer opportunities were put in the section newsletter. No responses from within the section were received. However, John Peeples at the Citadel has contacted John Bowles and said he has some people who can help. Contact at peeples@citadel.edu. Budget Presently $2714 in account. Committee Updates Trish - Student conference. Received email from 2 SC State students volunteering. Website for hardware rules need 2 more updates, should be done by end of week. Will start building tables in late October. Have 6 people designing the software competition. Will link to registration website a way to indicate team registrations. Steve - Accommodations. Companions program posted on the web by David Mills. Estimate January for working with hotel on A/V needs. Brent - Treasurer. Action item: Begin tracking expenses and income against budget plan. Simon - Publication. Have received the Library of Congress Number for the printed Proceedings. Action item: will make sure we have a number for the CD. Richard and Allen - Industry. Not in attendance. Action item: Finalize letters to industry. Committee asked for a list of industry contacts they already have so we do not duplicate efforts. John B. - Program. Call for papers was emailed to all Region 3 members. Had probably 1000 bounce. Had received 1 submittal and several inquiries. Also received proposals for tutorials. Discussion on PDHs vs CEUs, and decided to go with CEUs since those are obtainable through IEEE. John B. will handle getting CEUs for the tutorials. Also received an inquiry on the upper limit for quantity of papers from one author. We decided the maximum is 2 papers per registrant/presenter. John M. - Program. Has sent a letter to Dr. Bose and is awaiting a reply. Registration - Charles Lord, Region 3 Registration, will be handling the registration for this conference. Registration will not be 'live' on the web. Form will be on the web which can be emailed, faxed, or mailed. The committee was told by R3 that we had to offer a basic student rate which was lower than what we had initially decided. After much discussion, we agreed on $30 without Sunday awards luncheon and $50 with, both for advance registration. Both includes the student party Saturday night. During the meeting called Jim Howard who is to take the recommendations to the R3 meeting for approval. Also learned have to have a basic rate for Life members and unemployed members. We decided those groups would be the same as the student rate, and would not include the Saturday or Sunday meals. Cancellation policy - no refunds after end of pre-registration period. $30 cancellation fee. End of pre-registration 17 Feb 01. Action item: David Mills to post this cancellation policy on web. Action item: Nancy to contact Jim Howard. As of 10/12, the correct registration form is on the web but we have not actually processed any registrations.
