Region 3 SAC Committee (Bruce Walcott, RSAC, Trish Davis, RSR) Winter 2003 EXCOMM Report Since the November 23rd EXCOMM Meeting, the SAC committee has submitted its Goals and Objectives for the coming 2003 year (see the appendix to this report). Also, two conference calls with the Director, RSAC, and RSR transpired on December 18th and January 2nd discussing strategy and, specifically, the status of student participation in Southeastcon 2003. Thanks to the help of the Director, EXCOMM committee members, and Area and Section Chairs, an accurate picture is forming concerning the number of student branches committed to participating in Southeastcon 2003. At the time of the writing of this report, the following numbers are available: Student Branches Confirming SECON 03 Attendance: 15 Student Branches Maybe Attending SECON 03: 3 Student Branches Not Planning to Attend: 2 In terms of student numbers, most of the schools confirming SECON 03 attendance have listed 4 as the minimum number of students who will make the trip. The next steps are to continue to confirm school hardware contest participation (so far we have heard back from 5 yes, 3 maybe, 2 no) and paper contest participation (so far we have 3 yes). With schools still on Christmas break, compiling this information has been slow. However, most schools should be back in session by January 15th. Reminders concerning the paper contest and procedures for passport acquisition will be sent at that time. Respectfully submitted, Bruce Walcott, RSAC Trish Davis, RSR --------------------------------APPENDIX--------------------------------- SAC 2003 Goals and Objectives: The following goals and associated action items were generated as a result of the this planning meeting: Goal 1: Complete the 2002 RSAC goal of "maximizing" Southeastcon 2003 participation while "minimizing" the logistical problems of student travel Southeastcon 2003 Action Items: · Decide on a funding model IMMEDIATELY · Get accurate head count of students attending to Halden Morris · Send Mailer to Students about Benefits to Going to Southeastcon · Check with technical program chair about session for paper contest overflow · Check on Issue Statement of Safety and Concern and check on Travel Advisory · Request that Region Director write letter to Section Chairs · Investigate I-20 Visa Issue · Paper Contest --- travel support and request that authors make passport applications · Passport Issue · Device Security Delta/Air Jamaica and American Airlines, keep batteries separate · Cost of travel to Jamaica Grande = $30 · Health Insurance Issue · $250 Roundtrip with $30 roundtrip from Atlanta Goal 2: Increase Branch Reporting from current rate of 20% to 25% by end of 2003 and address other issues of branch continuity and Post-Southeastcon MIA Syndrome: · Get list of 18 from Laura · Remove Inactive Branches · Increase Reporting Incentive $2 (SAC Issue) · $2 Section Rebate per Student · Sections should be reporting Branch · Strongly recommend that officers be staggered (vice chair be junior) etc., in STLWs, Operations Manual · Identify Region 3 "catalysts" to help with PSMIAS Goal 3: In concert with upcoming RSAC review, assess effectiveness of current "traditional" student activities as well as new initiatives discussed in the planning meeting: "Traditional" SAC Activities Issues: STLWs: · Effectiveness of STLWs (especially at Southeastcon) · Scheduling STLWs · Current Model of distributed training vs. Student Branch Congress/Region 6 STLW · Do Council Training in conjunction with STLWs · Region 3 Student Branch Operations Handbook · Have mentors attend STLWs Hardware and other Competitions · Possible institutionalizing and exporting hardware contest Paper Contest: · Potentials paper · Published papers Possible "new" SAC Activities · Insert for Potential about o # of members o contact fro branch o location o "Best Practices" events Goal 4: Work with Gold on mutually interesting/beneficial subjects/projects Some suggested projects: · Promote Long-Term Benefits of IEEE (publications, conferences, insurance) · Focus FAP or similar organizer on short benefits for GOLD members · Resume Services · Mobilize Region 3 to find out about Companies that pay for professional societies · Who's Who in IEEE · Graduation Package · Magazine for Gold
