Archive Management Subcommittee IEEE Region 3 Communications Committee Report to the R3 Excom July 9, 2005 A discussion has begun to determine archival methods, guidelines, and "rules" for all entities in Region 3 to guide us in how to manage our intellectual assets as well as mountains of paper and electronic records that accumulate as part of our IEEE duties. The main issues that we are working to address are: 1. What do we need to keep for legal (financial, taxes, etc) purposes and what forms may we keep them (paper / electronic, and what formats, media, etc?) 2. What can we keep, and in what format, to help maintain the history, lessons learned, and collective knowledge of our hardworking volunteers? 3. How can we leverage the best practices of knowledge management to make the most use of this saved knowledge to enable future leaders to learn from it, avoiding our mistakes, building on our successes, and not "reinventing the wheel"? I am involving staff help, notably Matt Loeb and the Business Administration department, to assure that we meet all corporation needs. There is a discussion on this topic on the Communications Committee's twiki site at https://ie3col.eng.uab.edu/twiki/bin/view/R3econf/ArchiveManagement . All are welcome to comment or get involved in this effort. Charles J. Lord, P.E. c.j.lord@ieee.org
