To: Region 3 ExCom Fr: David Green, Region 3 Secretary Sb: Secretary's Report Dt: January 13, 2006 The Region 3 meeting information, agendas, and reports received are on-line at https://www.ewh.ieee.org/reg/3/excom/meetings/2006-01/ I thank ExCom members who have submitted their reports prior to the meeting according to the guidelines posted on the web. These reports are posted to the web linked with the agenda. This will also serve as the archival mechanism. Records for Region ExCom meetings from 1998 onwards are on the web at predictable URLs. Of course, if no report is submitted, ... Committees that wish to store items on the web may either do this through the webmaster or through a dedicated area that the committee controls. Please think through issues of maintenance, skills, and convenience before you decide since it is work to change the approach later. The 2006 Roster is on-line in our private directory at https://ewh.ieee.org/reg/3/excom/private/full-roster2006.html . Please check your entry(ies) and let me know if corrections are needed. Where possible, please use your @ieee.org alias. The userid and password for this private directory are available by e-mail (ask me or others). Please do not post this information on the web. These credentials also allow you to follow the links to the Region 3 Proposed Budget supplied by the Treasurer. Similarly, there is a vicechair-roster2006.html located in the same directory -- please let me know additions and corrections to it. Please treat both of these files as "draft" at present until more "eyes" have viewed them. My goals and objectives as secretary are 1. Submit the Region 3 Roster to the IEEE Operations Center 2. Facilitate ExCom operation by working with the Director to provide timely meeting notices and agendas prior to the meeting and minutes within a week after the meeting. 3. Participate as appropriate in Region 3 meetings. 4. Improve the meeting planning and tracking functions both for more service to the participant and to reduce the workload to maintain the information. I would ask that those who have agenda items that for the Region meeting and/or ExCom meetings in Memphis, please forward them to Director McClure and me as soon as possible. The secretary is the primary administrator of the ExCom alias (list). Balancing the openness of the list (from a who can send to it basis) versus the ability to preclude it being used to distribute SPAM is a constant challenge. The present settings of the list controls are to allow ExCom members (with mail from their @ieee.org accounts) to post, to allow ExCom members who have given me additional e-mail addresses that are their normal mail's From address to post, and to require all other posts to be confirmed. In short, the confirmation process is for the list automation to send an e-mail back to poster asking them to either reply or go to a web address to confirm their posting. The systems' features don't allow the confirmation of this sender to hold for future postings (they have to go through the confirmation process each time.) The present settings let you send "immediately" to the list (without my intervention) but if you are using this address routinely, please let me know so I can add it to the allowed senders. I hope this is a good balance for the benefit of the ExCom and the members of the Region.
