ABSTRACT PREPARATION AND SUBMISSION GUIDE



ABSTRACT PREPARATION

Prospective authors should submit an extended abstract of 3 to 4 pages in length, including figures, tables and references. Shorter submissions may be automatically rejected. The extended abstract should summarize the scope of the paper and the primary results and findings, emphasizing new advances, theories and/or applications so that the program committee will be able to understand the originality and the value of the work.

The extended abstract must be formatted as follows:

  • Paper: US-letter or A4 paper
  • Margins: 1 inch (2.5 cm) on top, bottom, left and right sides

The recommended structure of the extended abstract is as follows:

  • Title
  • Authors
  • Affiliation
  • Keywords
  • Introduction: this should explain why the topic is important, its value to science, and include a background of the work, and a literature review.
  • Proposed approach: this part describes the techniques or methodology used to address the topic.
  • Results: this part contains the innovative results and a brief comparison with the literature. Although projected future results may be discussed, this section must deal primarily with achieved findings, not projections. Novelty should be stressed.
  • References: the key references should be given, mainly including relevant papers available in the literature (not just the list of previous publications of the authors).
Figures and tables may be included where appropriate.




ABSTRACT SUBMISSION

Authors should submit their abstracts by email by following very carefully ALL of the following steps (failing to comply with these instructions may result in lost submissions):


  • Generate the extended abstract file

    Generate the electronic file to be submitted in one of the following electronic formats:
  • PDF
  • postscript (the optimization option of the postscript driver must be set for maximum portability, the Apple LaserWriter driver is recommended to ensure portability)
  • RTF
  • MicroSoft Word
  • ASCII text
  • Large files should be compressed before emailing them. WinZip, pkzip or compress should be used.

    The name of the file containing the extended abstract must be the name of the contact author. In the case of multiple submissions from the same contact author, the file name must be padded by numbers (e.g., smith1.ps).


  • Prepare the abstract submission form

    Fill in the abstract submission form which is available in the following formats:
  • RTF
  • ASCII TEXT
  • The name of file containing the abstract submission form is obtained by concatenating the name of the file containing the extended abstract and the string "-subform" (e.g., smith1-subform.rtf).


  • Send the extended abstract and the abstract submission form

    To submit your extended abstract, send an electronic mail to Lee Myers at lee.myers@ieee.org. Attach to this email the following items:
  • extended abstract file
  • abstract submission form
  • Please,

  • send the extended abstract and the abstract submission form in ONE VERSION ONLY: DO NOT submit them in multiple formats! (This may create confusion and result in missing submissions)
  • send ONLY ONE extended abstract for EACH EMAIL MESSAGE
  • send the TWO ITEMS (extended abstract and submission form) for an extended abstract in ONLY ONE EMAIL MESSAGE: do not send the abstract submission form separately from the extended abstract




IMPORTANT! Submission of abstracts implies the author’s willingness to register for the conference and present the paper(s). An accepted paper will be published in the proceedings only if the final version is accompanied by the registration form(s) and fee(s) for at least one of the authors (only full member or non-member fees will be allowed for this purpose) - no exceptions! One author registration will guarantee publication of up to two accepted papers; each additionally accepted paper associated with the same registration will be subject to a mandatory printing contribution of 50 US$.




SUBMISSION ACKNOWLEDGMENT

When a submission is complete and has been properly received, the secretariat will assign a paper identification number and will acknowledge the receipt by email to the contact author only.
The paper identification number will be used to identify the abstract and, if accepted, the final paper in every further communication.

The list of received abstracts will be periodically posted on this page. If you forget the paper identification number of your paper, you will be able to retrieve it from this page.

The secretariat will contact directly the contact author by email if any correction is necessary.

Checking the submission, assigning a number and sending a confirmation to the contact author may take a few days, especially at the time of the submission deadline. Please, wait at least four working days after having submitted an extended abstract before checking the web site or contacting the conference secretariat for information about the status of your submission.
