CONFERENCE REGISTRATION



All information concerning the registration procedure and costs are presented here.



COVERING THE EXPENSES FOR PAPER PUBLICATION

Do not jeopardize the publication of your work in the proceedings!
Please, read carefully the following information concerning the registration procedure that is presented in the author's kit, especially if you are the prospective presenter of an accepted paper or if you need to guarantee inclusion of your accepted paper in the proceedings. No exception is allowed.

An accepted paper will be published in the proceedings only if the registration form and the full-fee payment for one of the authors is received and correctly processed

BY 30 JUNE 2005 - no exceptions.

Only member or non-member fees are allowed to cover the publication of an accepted paper. Student registration fees cannot be used to guarantee the publication of an accepted paper. If the author registering to cover the paper publication is a student, he has to pay the appropriate member or non-member fee. Members to whom the society bylaws grant special discounts (e.g., Life members of the IEEE) cannot use the discounted rates to cover the publication of an accepted paper: they have to pay the member fee.

One author registration will cover the publication expenses of only ONE accepted paper: for each additional accepted paper associated to the same registration, a 50 US$ printing contribution will be charged.

In the case no registration has been received and correctly processed to cover the paper publication, the conference organizers will contact the authors before the paper is removed from the proceedings.

To cover the registration expenses, authors must use the registration form available in the author's kit.



SERVICES AND FEES

The registration fees are as follows and must be paid in US dollars:

To qualify for member rates, the membership number must be provided in the registration form. No exception.

To qualify for student rates, a copy of the student identification card or an equivalent declaration signed by the institution must be provided with the registration form. No exception.

Member and non-member conference registration fees include entrance to all sessions, one copy of the CD-ROM proceedings, coffee breaks, Monday and Tuesday lunches, Monday banquet.

Student and IEEE Life Member registration includes one copy of the CD-ROM proceedings, entrance to all sessions and coffee breaks.

REFUND POLICY

Conference registration will not be refunded (in full or partially) if it is required to cover the publication expenses of an accepted paper - no exception, even in the case of denied VISA.
Lunch and banquet tickets that are included in the registration fees will not be refunded if not used.
Additional lunch and banquet tickets will not be refunded after 15 July 2005.



REGISTRATION AND PURCHASE

To register and cover the publication erxpenses, authors must use the form available in the author's kit.

All other attendees can register on-line. Fill in ALL information (INCLUDING all payment information) and pay the due registration fee.

Credit card is the preferred method of payment. For payment by bank transfer, you must add the US$ 25 processing fee charged by all banks. If you prefer not to provide your credit card information thourgh the on-line secure connection, you can fill in the form with all data (except the credit card information), print and fax it to the conference secretariat.

DO NOT send your registration form by mail, AND by fax, AND by email.
Registrations that have not been sent to the conference secretariat will not be considered.



REGISTRATION CONFIRMATION

No registration confirmation will be sent to the registrants before the conference. If your registration has any problem, you will be contacted directly by the VECIMS Conference Secretariat.

For your convenience, the list of registrations received and processed by the VECIMS Conference Secretariat is shown here.

The above list will be updated periodically. Check the date of the last update before contacting the VECIMS Conference Secretariat and wait for at least 4 working days after your request to allow for its processing.



VISA

Citizens of some Countries need to ask for the VISA to enter in Italy. VISA can be obtained at the Italian Embassy or Consulate in the Country of residence.

Attendes can find here the Italian Embassy or Consulate nearest to their residence.

To obtain a VISA to enter in Italy, an invitation letter from the General Chair, prof. Cesare Alippi, is needed. Ask for this letter by email at alippi@elet.polimi.it.

VISA Offices may need several weeks to process your request. Please, apply for the VISA as earlier as possible so as to allow sufficient time for VISA processing and for getting possible assistance from the General Chair directly with the VISA Office in the case of difficulties.

In some cases the Italian Embassy or Consulate needs also that the General Chair faxes the invitation letter directly to the VISA Office. Please contact the VISA Office at the Italian Embassy or Consulate near your residence to verify which is the current procedure in your Country. Do not hesitate to contact the General Chair for assistance with the VISA Office in caso of any problem.

Do not ask for the invitation letter to the conference secretariat or to other organizers since only a letter signed by the Italian General Chair will be considered valid by the Italian Embassies and Consulates. Do not waste your time in contacting other people!

For your convenience, the status of the publication material for each accepted paper (final manuscript, copyright, covering registration, registration payment) received and processed by the VECIMS Conference Secretariat is shown here.
