PES-ICC - Etiquette Rules for Vendors


  1. Scope
    The intent of these rules is to ensure that the Insulated Conductors Committee maintains its meetings at a high professional level. Vendor participation is encouraged and welcomed and it is only to emphasize the technical and professional aspects and to prevent any conflicts with the ICC meetings that these rules are required.
  2. Hospitality Rooms
    • Any manufacturer who chooses to have a hospitality suite is solely responsible for obtaining a suite at the hotel and responsible for payment.
    • Vendor hospitality rooms are a means of entertaining customers, making and renewing acquaintances and for commercial discussions on an individual oriented basis is appropriate.
    • All vendor personnel participating in the vendor's hospitality rooms shall be registered as attendees of the meeting.
    • Vendors should not receive guests to hospitality rooms during ICC functions.
    • At least one-half hour before ICC affairs, vendors should close their hospitality rooms to guests, including those present. The rooms should not reopen until such affairs are closed.
    • An attempt should be made to close all hospitality rooms by a reasonable hour so as not to interfere with the following day's program.
    • Hospitality room identification should be on a personal basis without the use of signs, posters or listing on hotel boards.
  3. Vendor Entertainment
    • Vendor group affairs, such as organized meals and user group meetings, or any vendor-sponsored group of more than ten registered attendees (not including the host company), are not permitted during ICC scheduled activities and must be scheduled for the evenings or alternate times.
  4. Commercial Advertising and Conduct
    • No commercial displays, including signs, posters, etc., should be displayed on the meeting premises for commercial advertising purposes. The only exception to this rule is the Table Top Exhibit, which must be registered and must have a technical focus as opposed to a commercial focus.
  5. ICC Hotel Contract
    • Outside groups, vendors, or committees not associated with the ICC structure, planning to meet during the ICC schedule, can apply for meeting room assignments to the ICC Chair. These rooms will only be assigned off ICC’s regular scheduled hours and as available per the Hotel. Any extra charges will be the responsibility of the outside group.
