Executive Reports

Leonard Bathgate sent out ballots by mail on Tuesday November 4. Section has about 4700 members.
Ballots also sent out by e-mail. However, about 2300 e-mail addresses are up to date.

As of October 9, $35,967.64 in concentration banking and $13,759.14 in other accounts.
Need AES checks to close out accounts for the year. Action 11.1: Jeff Friedhoffer to contact Bill Dixon to find out status about checks.
Secretary (Brian Sequeira)
Minutes of the June meeting were posted on Section website on October 27. Copies distributed at meeting.
Action 10.2: Forward electronic copy of report to Tracy Hawkins. Done.
Action 10.4: Brian Sequeira to provide copy of proposal for edit and partial inclusion into Newsletter. Done
Presented results of updated audit of meetings held by Chapters, Affinity groups and Sections (Appendix A) as of October 30, 2003.
Action 10.5: Secretary to include student meeting of April 24 in Section tally. Done
Action 10.6: Neville to provide details of meeting held for the Robot Committee at his place. Deemed unnecessary. However in future significant Robot Challenge related meetings such as kitting parties, school report grading, and meetings on the days of the Challenge should be recorded.
Action 10.7: Secretary to include this meeting within the section tally. Same notation as for action 10.6 applies to this item.
Action 10.8: EMC to file August 7 meeting on-line. Open.
Action 10.9: Secretary to file other EMC meetings held to date. Done.
GOLD and WIE affinity groups need to file petitions to become affiliated with section.
Newsletter (Ron Aloysius)
Newsletter for November ready to go out. Need all inputs for Newsletter by November 21.
Need a paragraph on robots. Action 10.10: John Dentler to provide paragraph. Some value related material on robotics in a hobbyist magazine called Nuts & Bolts.
Newsletter should have the same sponsor over the quarter.
Brian’s article on History of Electronics in Flight will be printed in the upcoming issue.

There were 3 major opportunities that we availed to talk to teachers and distribute Robot Challenge kits this past month: TEAM Expo on 10/17, AIMS Conference on 10/27, and Teacher’s workshop on 11/06. The following schools made commitments as listed in the Table below.

TOTAL: 16 schools, 36 teams, 41 kits and an expected income of $1837 (73% of cost).
In addition the following 10 high schools have expressed interest: Barrie*, Bullis*, Chesapeake*, Edison*, Paint Branch*, Parkville, Perry Hall, Quince Orchard, Towson*, and Watkins Mill*. All schools that are highlighted with an asterisk (*) are first-time participants (or potential first-time participants) and represent 20 out of the 26 schools responding thus far. We expect that there will be an additional number of repeat schools who will be calling for kits in the next few weeks. The deadline is still 15 weeks away.

Based on the above we are a month ahead of where we were last year, have 5 more new schools and are well positioned to have a good turnout this year. This is largely due to having booths at TEAM Expo (N/C), where we contacted many of the Public School Tech Ed teachers, and the AIMS Conference ($200), where we contacted the Private school teachers. It is a lot of work, but it paid off!
We received an order for 25 manual kits and 5 automation kits from North Carolina Section. We are in the process of sending out 15 manual kits and 5 automation kits, and will send the remaining 10 manual kits in late December when the next shipment is due from Kelvin Electronics. Only 7 kits remain till then!

Expenses for this period are $200 for the booth at the AIMS Conference (paid directly by treasurer, and $319.59 borne by Neville Jacobs and to be reimbursed to him by Section.

Section approved Region 2 by-laws.
Move afoot to eliminate the requirement for Sections to have their own by-laws.
One of the items on the agenda of the meeting in Seattle is to make the L-50 form more user friendly
Section needs to bolster membership in IEEE. Worldwide participation rate in IEEE of all electrical engineers is 5%.

Programs (presented by John Dentler)
As part of coordinating the centenary celebration with Region 2 meeting John Dentler asked that the Section hold the celebration on February 28, 2004. Motion to approve February 28, 2004 as date for centenary celebration moved by Brian Sequeira, seconded by Jim Ryan, and passed unanimously.
Celebration will be held at the Marriott next door to the Historical Electronics Museum, and the estimated charge per member is $40. Action 11.2: Ron Aloysius to put this item in Newsletter with details of place, date, time, charge, and contact e-mail address (Chris Nemarich).

Working on activities for 2004
Would like to explore activities co-sponsored by IA. Action 11.3: Jeff Friedhoffer will send out a feeler to IA for interest in IA’s participation in Engineer’s Week.
Action 11.4: Jim Ryan/PES to send Ron Aloysius a summary of the Book Scholarship program.
Eric Henlon added that the focus of PES next year was on getting new members, and seeking ways of accommodating changing needs of members such as holding presentations at different times and locations than has been in the past (12:00 noon at BG&E).

Observations and actions
There are 7 meetings that have no L-31 filings either with you or me (see yellow highlighted text on previous page). I have knowledge that these meetings were held because of oral presentations made to that effect by chapter representatives at section meetings or because the meetings were listed on the web sites of the chapters. I am pursuing this with the appropriate chapter secretaries.
Meetings highlighted in
GOLD and WIE have not filed petitions to IEEE to become affinity groups of Baltimore Section. Their meetings cannot count until this formality is completed.
