Presentation format:

The conference will be single track. All presentations will be based on fast forward podium talks plus interactive sessions with posters, videos, and demonstrators. To present at the conference, the submission of a full paper is required. Contributed papers will be peer reviewed and IEEE indexed (IEEE Xplore).

Final paper (camera ready) submission information and paper guidelines (follow all steps):


Step 1: Prepare and revise your final paper
Papers of at least 6 pages and at most 10 pages need to have the IEEE a4 conference paper style, of which the templates can be found here:

Paper template Latex: https://ras.papercept.net/conferences/support/tex.php
Paper template Word: https://ras.papercept.net/conferences/support/word.php

(In the Latex template you have to uncomment/activate the second line: "\documentclass[a4paper, 10pt, conference]{ieeeconf}". For Word you have to use the "ieeeconf_A4.dot" template.)

Please consider all reviewer comments carefully and improve your paper for its final version. Remember that your paper will be very visible due to the IEEE indexing.



Step 2: Add Copyright information to the first page of the paper
The appropriate copyright clearance code notice is to appear on the bottom (center) of the first page (only) (see example) of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding.

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-6380-6/18/$31.00 ©2018 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 78-1-5386-6380-6/18/$31.00 ©2018 European Union ·
  • For all other papers the copyright notice is: 978-1-5386-6380-6/18/$31.00 ©2018 IEEE




Step 3: Check your Final Paper
In order to publish your paper in IEEE Xplore, it is necessary that you check and verify if your final paper is IEEE compliant before submitting it. (Please be aware that papers that are not IEEE compliant will not be published in IEEE Xplore.) This must be done through PDF eXpress where you can sign in as follows:

Log in to the IEEE PDF eXpress site

First-time users should do the following:
  1. Select the New Users - Click Here link.
  2. Enter the following:
    • 44132X for the Conference ID
    • your email address
    • a password
  3. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation*1 will be sent verifying your account setup.

Previous users of PDF eXpress
need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

After checking your file, you will receive a first e-mail which confirms that the PDF eXpress has received your file and after the review a second e-mail with the result of the file check*1.

*1If you do not receive any emails, don't worry. You can see the status and download the checked PDF also from your account: click on the title of your paper (which appears as a hyperlink) and it will open.

Converting source files with IEEE PDF eXpress
IEEE PDF eXpress can convert a.o. the following formats to PDF:
  • Microsoft Word
  • (La)TeX (A DVI and supported image files must be included in a compressed archive)



Step 4: Upload the final IEEE compliant paper
After receiving confirmation of compliance from PDF eXpress, you have to submit the PDF file approved by PDF eXpress (the file attached to the confirmation email from PDF eXpress or the file downloaded from your account) in the CMT system, which you can access here >>

IMPORTANT: Do not modify the PDF file approved by PDF eXpress, that is your final submission file.

You can now also submit your (revised) supplementary materials such as videos, if desired.


Step 5: Verify and complete all paper details
Please make sure that all paper details are correctly registered in the CMT submission system, mentioning all co-authors, affiliations, emails, paper title, etc. correctly.



Step 6: Complete Copyright Form
Please follow the link within the CMT submission system to electronically complete and sign the Copyright Form.
