Getting to Manchester

Manchester is an international destination with an infrastructure comparable to any city in Europe, hence it has become a natural choice for the organisers of international association conferences. The city has a world-class airport and a strategic location in relation to Britain’s motorway and rail network. In addition, the huge investment made in public transport in recent years makes Manchester perfectly equipped to provide fast and efficient transport for delegates attending the conference.

Air

Manchester Piccadilly is one of three main stations in Manchester and offers direct services to other major UK cities. There are 60 direct trains a day to London (every 20 minutes), with a journey time of just over two hours.

With over 200 non-stop flight routes, Manchester Airport boasts one of the most comprehensive international route networks of any UK airport.

The UK is very well connected to Europe which will be a particular benefit to delegates and exhibiting partners. The Eurostar link serves London’s St Pancras station with trains arriving throughout the day from France and Belgium, and there are excellent connections to the UK national rail network and to Manchester.

It offers direct flights from nearly every major European city including Brussels, Paris, Frankfurt and Amsterdam, as well as a large number of international destinations including Chicago, New York, Washington DC, Abu Dhabi, Dubai, Beijing, Hong Kong and Singapore. Manchester Airport also offers a large number of European routes with low-cost carriers which will benefit student delegates who are travelling on a budget.

The airport is situated just 10 miles from Manchester and is connected by a fast and frequent train service meaning that delegates from overseas can reach the city centre very quickly.

Rail

Road

Travelling to Manchester by road is simple and efficient with half of Britain’s motorway network passing through the region with approximate journey times of 2 hours to Birmingham, 3½ hours to London and 4 hours to Edinburgh by car, allowing easy access from across the UK.

Passports & Visas

Free circulation of academics in the UK is guaranteed and we predict that many delegates attending will not require a visa to enter the UK for this conference. Delegates from outside the European Union usually need to apply for a visa to enter the UK, although this is a straightforward process. The local partners are happy to provide assistance in obtaining visas for those cases where a written letter of invitation is required.

Manchester’s vast choice of places to stay, from budget hostels to five star hotels, to the increasingly popular apart-hotel accommodation, makes attending an international conference in Manchester simple. Delegates will have a choice of a full range of accommodation, including internationally recognised brands, all within walking distance of the Congress venue.

Getting around Manchester

Our suggested venue is located at the heart of Manchester’s city centre, surrounded by thousands of hotel bedrooms as well as the city’s attractions, bars and shops. This gives delegates extra time to enjoy the conference programme and network with colleagues.

Walking

Manchester city centre has a wide offer of high quality public realm which, combined with its compact and manageable size, makes it an easy place to traverse on foot.

Metroshuttle – Free Bus

Delegates will benefit from a free city centre bus service known as Metroshuttle, which offers three circular routes covering all of the main areas.

Tram

The Metrolink tram network is the largest urban tram network in the UK, consisting of multiple lines bringing passengers into the heart of Manchester city centre. This gives delegates the opportunity to easily visit further afield should they wish.

Car & Taxi

The city centre offers over 15,000 secure car parking spaces and is well served by a large number of taxi operators.

Bus

An extensive bus network is operated by various commercial operators. It offers high levels of connectivity and value for money for passengers with services operating into the night.

Submission

Prospective authors are invited to submit papers of no more than eight (8) pages in IEEE conference format, including results, figures and references. Papers must be in PDF and written in English. Detailed instructions and templates for preparing your manuscripts can be found here.

At maximum, two additional pages are permitted with over-length page charge of US$100/page, to be paid during author registration.

Each paper will be peer-reviewed. Submission implies the willingness of at least one of the authors to register and present the paper at the conference.

All papers and posters should be submitted via the EasyChair online submission system.

Final Paper Submission

Final versions of all papers, following all requirements below, must be submitted by no later than 30th June 2017 in order to be included in the conference proceedings and IEEE Xplore.

Before Creating your Final PDF:

• Ensure that you have addressed reviewers’ comments as specified in your acceptance email.
• Add the appropriate copyright notice to your source document:

Ensuring IEEE Xplore Compliance:

All accepted papers must be IEEE Xplore compliant. To ensure that your file is fully compliant with IEEE Xplore, you must validate your paper with IEEE PDF eXpress using conference ID 38345X.

All errors identified by PDF eXpress must be corrected prior to final submission to the conference. Once your paper is free of errors, you will receive a pdf file from PDF eXpress with a name in the following format: PIDxxxxxxx.pdf. This is the file that must be uploaded for your final submission.

Accessing PDF eXpress:

First-time users should do the following:

1. Select the New Users - Click Here link.
2. Enter the following:
   • 38345X for the Conference ID
   • Your email address
   • A password
3. Continue to enter information as prompted.
4. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users should follow the above steps, but using the same password as used for previous conferences, and should also verify that the contact information is valid.

Uploading the Final Version of Your Manuscript:

Please use the information you received in the acceptance email of your paper for uploading the IEEE Xplore compliant final version of your paper. The system will allow you to upload your file once, so please carefully check your final file before uploading it. Final papers must be submitted by 30th June, 2017. The paper must be re-submitted even if the reviewers indicated that no changes are required. Furthermore, the file to be submitted must be the one obtained from running IEEE PDF eXpress, as this contains the IEEE Xplore compliance information.

Copyright Form:

After uploading the final version of your accepted paper, please complete the IEEE Copyright Form found here. Send an email to the Publications Chair, Sheridan Houghten (shoughten AT brocku.ca) with the subject line “Copyright Form for paper x”, where x is your paper number, and attach the completed copyright form. You must complete and submit the IEEE Copyright Transfer form in order for your paper to be included in the conference proceedings.

Important Note: An accepted paper will be published in the proceedings only if the final version is accompanied by a full (non-student) registration for at least one of the authors.

The above fees include admission to all tutorials and technical sessions, along with coffee breaks, a reception and a banquet. One copy of the proceedings (in electronic form) is also included. Fees include all applicable taxes.

Each accepted paper must be accompanied by a full (non-student) registration to be included in the proceedings. Each full registration covers a maximum of two papers (or one paper and one late-breaking abstract).

Accepted late-breaking abstracts can be accompanied by either a full or a student registration. A registration covers a maximum of two abstracts.

Additional banquet tickets are available for $90.

Additional copies of the proceedings are available for $20.

All refund requests must be in writing and received before August 9th, 2017. In the case of a refund, a $40.00 cancellation fee will be deducted from the registration price.

Travel Grants

The IEEE Computational Intelligence Society (IEEE CIS) will offer a limited number of Travel Grants for

• Students (undergraduate or graduate students, from any country)
• Professional Researchers from Developing Countries

who are presenting one or more papers at IEEE CIS-sponsored conferences. One application system will be used for both students and professionals.

Requirements for Students:

• Membership of IEEE (join IEEE here)
• Membership of IEEE Computational Intelligence Society (join IEEE CIS here). Note that IEEE CIS is listed as an optional society membership under IEEE).
• A “Proof of University Attendance” on university letterhead certifying that the student carries at least 50% of a normal full-time academic program as a registered undergraduate or graduate student in a regular course of study.
• A “Recommendation Letter” from the student's supervising professor on university letterhead that the student is the major contributor to the paper and approximately what was the student's contribution in percent to the paper. Please include for each paper title, the ID number as given by the conference organizers and all co-authors’ names. In the event that the student is the sole author of the paper, no letter is needed.
• A hand-signed scanned form (in PDF) for US government purposes:
  • If you are a USA resident, please fill out a W9 form
  • If you are NOT a USA resident, please fill a W8 form

Requirements for Professionals from Developing Countries

• Be a higher-grade member of IEEE and IEEE Computational Intelligence Society (join IEEE CIS here).
• Be the author or co-author of an accepted paper in the conference, actually attend the conference and present the paper.
• A “Contribution Letter” confirming that you have contributed to at least 50% of the research presented, including paper title, ID number and co-author name of each paper.
• A “Funding Justification Letter” attesting by an honor-bound signature that the conference registration fee would pose an economic hardship on the applicant, such that they would be unable to attend the conference without the support of the travel grant.
• A hand-signed scanned form (in PDF) for US government purposes:
  • If you are a USA resident, please fill out a W9 form
  • If you are NOT a USA resident, please fill a W8 form

Important Dates:

• Submission of applications: 30 May, 2017 – 15 June, 2017
• Review of applications: 16 June, 2017 – 25 June, 2017
• Notification of acceptance: 26 June, 2017

Instructions:

2. Follow the instructions and fill all the personal data in the “User Profile”
3. By using the online form, choose the corresponding file for each requirement. Please try make your file sizes as small as possible
4. Please confirm that you have uploaded all the documents correctly.
5. Finally press “Submit” to complete your application!

Travel Grants Information:

• 800 USD for people living in a different continent than the conference location
• 400 USD for people living in the same continent of the conference location

Important Notes:

• Applicants must be IEEE CIS members in order to be able to process your application.
• Only one author per paper will be awarded a travel grant and an applicant can receive only one grant per year.
• IEEE/IEEE CIS Membership will be confirmed automatically through the IEEE Member database.
• Student applicants will be required to present proof of university attendance documentation at the conference.
• Students who receive travel grants will be expected to volunteer to assist the conference management team. Duties may include assisting with registration, ticket acceptance, audio-visual requirements, and other conference matters. It is not expected that this volunteering will interfere with any student's opportunity to attend most of the technical sessions, nor with presenting their own paper at the meeting.
