Author Instructions

INSTRUCTIONS TO SUBMIT YOUR PAPER

Detailed instructions for formatting and submitting your final paper are on the IEEE Conference eXpress web site (click here). Remember, you will need the conference id (ias08), your assigned IAS paper number, and your registration code received after successfully completing conference registration. Note that student registrations cannot be used for uploading papers and that each conference registration code may be used to submit a maximum of two papers. Papers will be accepted on the web site until June 2, 2008.

AUTHOR DEADLINES

January 15, 2008: Abstract and digest of proposed papers from authors received by the Technical Committee Program Chairs. Full papers received by the Industrial and Commercial Power Systems Department.

March 31, 2008: Notification to authors of acceptance or rejection from Technical Committee Program Chairs. Authors' information received by authors of papers selected for presentation from the Annual Meeting Technical Program Coordinator.

April 20, 2008: Authors will receive via e-mail their paper number(s) and paper uploading instructions. If you have received a letter from your Technical Program Committee chair that your paper has been accepted, but you do not receive this letter via e-mail, please send an e-mail to the Technical Program Chair ias-tpc@ieee.org giving your paper title and the technical committee the paper was submitted to.

June 2, 2008: Complete all items on the Author Checklist. It should be noted that this is a firm deadline and that the processing of late papers will not be possible.

Note that each paper that is scheduled for presentation must be accompanied by a qualified paid registration. In general, student registrations are not considered qualified registrations. Also note that each qualifying registration can be associated with at most two papers—authors with more than two accepted papers will be responsible for additional costs (or a co-author may also register at a qualifying rate). For further information, you may contact the technical program coordinator for the conference via email at ias-tpc@ieee.org or the appropriate contact person identified on the conference web site.

An author using any of the qualified registration categories may upload more than two papers by paying a fee of $ 125 US for each additional paper. The $125 fee should be paid using the on-line conference registration from when the author registers for the conference. Papers longer than eight pages are subject to a $250 per page fee for each page more than eight. This fee should also be paid when the author registers for the conference. Authors who have registered but still need to pay either fee should click here.

Paper Presentation Information

GENERAL INFORMATION

There will be an author’s breakfast from 7:00 to 8:00 am each day that technical sessions are scheduled. The room for the author’s breakfast will be included in the final conference program, will be posted by the hotel, and will be posted on the conference web site. The author who is presenting a paper on any given day MUST attend this breakfast only on the day of his or her presentation. At this time, biographical and presentation information will be exchanged with the session chair and final details for the presentations will be provided.

LECTURE PRESENTATIONS

Papers are normally scheduled in half-hour increments. A half-hour coffee break may be included after the third paper in a session. There are normally about 8 parallel technical sessions at any time during the conference.

To permit conference delegates to attend the presentation of their choice, each paper presentation must be started at its designated time. A paper’s starting time will be listed in the final program that is issued to the delegates at the meeting and is also currently listed in the technical program schedule that is posted on the conference web site. No changes to the final schedule are allowed. If a paper presenter fails to appear at the scheduled time, then the Session Chair may carry on with a discussion of his or her choosing (e.g. technical committee business) or adjourn the session until the time of the next scheduled paper.

Session Chairs will allow 5 minutes at the end of each presentation for delegates to travel between sessions. At the beginning of each presentation, the Session Chair briefly introduces the speaker and gives the speaker 20 minutes to complete his or her presentation. The Session Chair then allows a 5-minute discussion period.

The visual medium for lecture presentations at this meeting will be power point computer projected slides. 35mm slide projectors will NOT be available. The laptop computers required to display the power point slides must be loaded with the presentation PRIOR TO the technical session. Therefore authors must either bring their own laptop computer or make arrangements with the session chair to load his or her presentation onto a laptop computer at the beginning of the author’s breakfast. In either case, authors should also bring a CD or a USB flash drive that contains the visual aids for the presentation. Except under very special circumstances, and with the prior approval of the Annual Meeting Chair, please do not schedule videos or other multi-media presentations.
