Final Paper Submission

Authors must submit their final version of camera-ready papers electronically in PDF format through the PaperPlaza system no later than May 15, 2018. Before submitting the final version, authors are expected to revise their paper taking into account the feedback from the reviewers and handling editors. Please follow the instructions given in your acceptance letter.

All final submissions will be included in the conference materials distributed to the conference participants (program, digest, USB proceedings). However, only accepted regular papers will be archived in the UR 2018 IEEE Xplore conference proceedings.

At least one of the authors listed on the paper must be registered for the conference when the final manuscript is uploaded. For more information, please refer to the registration webpage.

Spotlight Video Preparation Instructions

Additionally, all accepted regular papers (and if presentation slots are available, a small subset of work-in-progress papers and abstract-only papers as selected by the program committee for their quality and topical interest), will be presented in the form of five-minute spotlight talks. All authors will be asked to upload a five-minute (300 second) MP4 video of the presentation. You cannot use your own computer, and will have no control over the playback of this video. The session chair will hit “start”, and your five-minute video will immediately start playing on a large screen behind you while you give your presentation (A TV monitor in front of the stage will allow you to see the video while still facing the audience, so that you can synchronize your talk to the video). You will be coaxed off the stage five minutes later.

The video submission website will open on June 1, 2018 and close on June 20, 2018. This is a strict deadline, since time is needed to verify video compatibility and to resolve any potential issues before downloading to the conference computer. Your five-minute MP4 file can be prepared in any manner that you wish. We recommend using the export-to-MP4 feature available in Powerpoint (i.e., create your usual talk presentation in powerpoint, then use the convert-to-MP4 feature; this feature is quite flexible and will allow you to directly allot the needed times to each slide, while playing embedded videos exactly as they would be done in typical powerpoint presentation mode). Keynote also offers similar features. For other video conversion methods, use 1440X1080 resolution at 30 fps.

Step-By-Step Guidelines to Submit Your Final Paper

Step 1
Prepare your final paper using the available LaTeX or Microsoft Word templates and following these paper preparation instructions. Make sure to submit electronically in A4 PDF format and do not change the formatting in any way

Step 2
Check that the names of all authors and their order is identical in the PaperPlaza submission system, the paper, one-page PowerPoint slide, and 5-min. spotlight talk video (for regular paper only).

Step 3
Create a PDF version of your paper and perform the IEEE PDF compliance test. If your paper does not pass the test, you cannot continue and may read the PDF Test Help to revise the format of your paper until it passes the test.

Step 4
Prepare one PowerPoint slide (and only one) that summarizes your paper. You must only use the PowerPoint template available here.

Step 5
Update the final submission information (title, author list, number of pages, abstract, copyright (regular paper only)*) in PaperPlaza. To process the copyright transfer for regular paper, follow the “Copyright Transfer” link, and you will be taken to the IEEE copyright transfer site (IEEE eCP) in a new window. Follow the steps as described on IEEE eCP pages and make sure that the paper title and author list are correct before your perform the copyright transfer.

Step 6
Register for the conference. In principle, one registration can cover one paper only. At least one of the authors listed on the paper must be registered for the conference through the registration site when the final manuscript is uploaded.

Step 7 (From June 1 to 20, 2018)
For all regular papers and select papers invited for spotlight talks, prepare your spotlight talk video format following the instructions given. This video will be made available on the UR 2018 website, but will not be archived in the UR 2018 IEEE Xplore conference proceedings.
