Payment Deadlines
Early Bird Closes: 28 February 2018
Registrations received up to the 28 February 2018 deadline must be paid in full in order to receive the early bird registration rate.
Registration Cancellation Policy
Deadline: 20 April 2018
Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat. Cancellations made by 20 April 2018 will result in a full refund less AUD150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by 20 April 2018 without incurring any cost penalty. Refunds for cancellations received after 20 April 2018 will only be made in exceptional circumstances. Failure to obtain the appropriate visa to travel to Australia does not constitute a refund. The Conference Secretariat must be advised in writing of any alterations or transfers.

The Organising Committee and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Organising Committee and the Conference Organisers do not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Conference does not cover individuals against cancellations of bookings or theft or damage to belongings.
Accommodation Terms and Conditions
As seasoned travellers, you would be aware that the hotel and accommodation terms and conditions vary from country to country. We encourage you to read the Terms and Conditions below noting the cancellation dates and refund policy.
The advice below is in line with Australian Hotel Standards and will apply across the venues. The Conference Secretariat will not accept responsibility for accommodations booked through 3rd party providers or directly with venues.
Deposits
Accommodation will not be confirmed until payment of the first night is received by Credit Card or full pre-payment is received by Cheque or Electronic Funds Transfer. Your payment will be forwarded to your hotel and credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check in/out depending on the hotels policy. If accommodation deposits are not received before 6 April 2018 your room will be cancelled and released back to the hotel. The Conference Secretariat does not take responsibility for accommodation if payment is not received by this date.
Cancellations
No accommodation payments will be refunded on or after 6 April 2018.
Delegates who confirm attendance by paying a minimum of the first night and do not advise of cancellation before 6 April 2018 the ‘no show’ rate, as penalised by the hotel will be charged to you and your payment will not be refunded. This charge is calculated as the room rate per night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of booking and before 6 April 2018 if any changes are required.
Change of booking
Any change in booking must be made in writing to the Conference Secretariat and NOT directly to the hotel before 6 April 2018. Any changes received after 6 April 2018 will be at the hotels discretion and based on availability.
Early arrival
As check in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Conference Secretariat on the registration form so we can notify the hotel that your room is required early.
Late arrival
Please indicate if you will arrive at your hotel after 1800. Failure to do so might result in your room being released
