Call for Workshop and Tutorial Proposals

Tutorials and workshops will be held on May 31 and June 4, the day before and after the main conference.

Please submit your completed workshop/tutorial proposal as a PDF file by September 25, 2019 (FIRM DEADLINE) using the Workshop option in ICRA 2020 submission page.

Important Dates

  • September 25, 2019: Deadline for submission of workshop and tutorial proposals
  • December 20, 2019: Notification of acceptance for workshops and tutorials
  • February 3, 2020: Submission of the URL of the event's website containing an updated title, abstract, and schedule
  • May 31, 2020 and June 4, 2020: Workshops and tutorials held at ICRA 2020

Proposals should follow the template below:

1- Type and Duration

Specify workshop or tutorial, half-day or full-day.

2- Title

3- Organizers

  • For each organizer, provide affiliation, address, phone, email, and URL.
  • The organizers should demonstrate their ability to organize and manage a workshop by showing previous experiences in handling IEEE/RAS workshops and/or tutorials.
  • Indicate which one of the organizers will be the primary contact person. All correspondence will be sent to this contact person, who will be expected to respond promptly.

4- URL

  • Organizers are required to maintain a live website with information about their workshop proposal or tutorial proposal.
  • The link to this website should be included in your proposal and should indicate that it describes a "proposed workshop" or "proposed tutorial". However, organizers may wait until the acceptance notification before creating the website.

5- Abstract

A short paragraph that will be used to advertise your event on the ICRA 2020 website.

6- Content

  • Describe your event in detail and how you will ensure the highest quality content such that attendees get the most out of the expected exchanges of ideas. The proposed workshop/tutorial should provide a venue for young researchers to listen to and interact with senior researchers.
  • Briefly describe the relevance of the topic and its significant expected impact and why contributed presentations reflect the state of the art. These are the main information which will be used to review the submission and its scientific quality.
  • Organizers are required to include in the proposal a tentative schedule and a list of confirmed invited speakers. Please note that the Workshops Chairs will verify the list of confirmed speakers during the proposal evaluation. For this purpose, evidence of speakers’ confirmation, which can be demonstrated with the supplement of an accepted message (in appendix) including the title and brief abstract of their talk, is strongly recommended.
  • Please clearly state that you have read the RAS guidelines for workshops and tutorials and are willing to follow them.

7- Real demo/Video

The organizers are encouraged to promote demos/videos in their tentative proposals where young/senior researchers could share their latest achievements interactively. Demos and or videos are strongly recommended in all presentations. Detailed information about the content of the demo/video is recommended such as: what kind of demos, description of the video content, etc.

 

8- Plan to solicit participation

Describe how you will advertise and encourage participation in your event, particularly from researchers traditionally outside of the robotics community (if applicable). Steps that go beyond an email to robotics-worldwide are encouraged. Estimate the number of participants that you expect, and provide a basis for this estimate, such as attendance at similar events in past years. If you have organized similar events in the past, list them and provide website links to those events and provide estimated attendance at each.

9 - Plan to encourage interaction among participants

Workshops promote informal discussion of an active research area. Describe how you will promote active discussion. We particularly welcome workshop/tutorial proposals that have the potential to increase the number of participants, that encourage participants to stay for the full duration of the event, that enhance discussion among participants, that increase the level of interaction between established experts and early-career researchers that present their work for instance during a poster session.

10- Dissemination

Describe briefly a dissemination plan of the outcome of the workshop. Solicitation of papers is encouraged by workshop organizers. These papers cannot take the form of conference paper submissions to be associated to the workshop. While they may be reviewed by the organizers prior to acceptance, they cannot be confused with regular, peer-reviewed papers. RAS workshop papers cannot be published as peer reviewed papers. Specify the topics and why the collection of papers would result in providing a wide view of the state of the art. Paper Template is downloadable on the IEEE RAS website.

Creation of an online accessible archive for discussions, media, and related articles is strongly encouraged: describe the process and how access may be provided to participants and ICRA2020 attendees.

Organization of special issue in Tier 1 peer reviewed journals is encouraged. Letter of support from Editors-in-Chief will be strongly considered.

11- Equipment

A computer projector and screen will be provided. List all other required equipment, such as poster stands (how many), an easel and writing pad, etc.

 

12- Support of an IEEE RAS Technical Committee

Please indicate if your workshop is in conjunction with an IEEE RAS Technical Committee (TC) and provide the contact information and a brief (one sentence) statement of support from a TC chair. The full list of IEEE RAS TC's is available here: https://www.ieee-ras.org/technical-committees.
